Bulk listing options
Thank you for choosing AnyHire.com as an important part of your marketing efforts. To assist you in getting the most out of AnyHire we are happy to offer you bulk listing uploads.
There are two ways to bulk list your items:
- Upload or email us your raw data in any common format and we will manually list your items for you.
- Upload formatted data and pictures.
What do you want to do?
- Upload or send us raw data (easy for you, paid service)
By uploading or sending us your data you are requesting the manual bulk listing service.
There are three ways how you can send us your raw data:
- Email it to our drop box. IMPORTANT: Use your company name as subject of the email. To send us files use only the previous link!
Attach any data files and your item pictures as attachments and give us any further instructions in the email body.
Since emails are not designed for large file transfers and often fail with attachments whose total size is over 5MB, this option is good for smaller data loads.
It is possible to send us more than one email if you want to split the files, but use the same subject (your company name) for all emails.
- Upload raw data files directly from this page.
The files can be up to 300MB large per upload and should be in one of common data formats. We will advise you in case we cannot process the supplied format.
If your data is large and your Internet connection slow, you may want to burn all your data to a CD or DVD and send it to:

If you can export your data in the format described below and your prices are defined as hourly, daily, weekly, monthly and/or weekend (or any combination of those options) you can use our free bulk listing service. If your pricing schemes are more complicated that's fine too, but you will have to list your items manually or ask us to do it for you using the previous option.
Please adhere to the following guidelines to ensure your products are listed accurately and in a timely manner.
Note: The following steps really only make sense if you are currently using a software booking management system of some sort and are able to export your inventory from it.
The exported data has to be in CSV (comma-delimited flat file(s)) or in XLS/XLSX (MS Excel) format.
Step 1: Set up your account
If you have not yet registered on AnyHire.com, do that first.
Even if you are already registered, make sure that:
- You are registered as a business.
- Your business is registered as a trader,
- You have set up all your branches if you want to import items into them.
Step 2: Export your data
Please note: Optional fields are preceded with the asterisk character (*). These are NOT required.
The main table
If your software allows you to define the columns that will be exported as well as name them, set the columns as follows:
- Name - The name of the item.
- ShortDescription - Short description of the item, max. 200 characters long.
- Price: (Your column names should be ONE OR MORE of the names below.)
- PriceHourly - Hourly hire price of the item.
- PriceDay - Daily hire price of the item.
- PriceWeekly - Weekly hire price.
- PriceMonthly - Monthly hire price.
- PriceWeekend - The item's weekend hire price if you offer it.
- QuantityBranch1...N - One or more columns defining the quantity of this item that is available in each. (We will define branches in a later step.
- *OurCategories - A pipe-separated (|) list of column IDs, listing categories that the item belongs to in your system. (We will later define category mappings.)
- AnyHireCategories - If you wish you can manually enter pipe-separated list of AnyHire category IDs. (You can get those below.)
- *LongDescription - A full description of the item. No HTML tags are allowed. To format parts of your long description you will have to open the imported item and manually edit the text formatting manually.
- *Images - A pipe-separated list of image names (may include path) to be linked to the listing.
Each image can contain a hint as to what size to save it in. This hint has the following form: *S or *L or *X for small, large and extra large sizes respectively.
You will have to supply us with the images named exactly as you define in this column. (Example: MyImage1.jpg|MyImage2.jpg*S|MyImage3.jpg*L - this would import the first two images in the small format [a name without the hint will be uploaded as small if there are currently less than 2 small images linked to the item, or in large size if there aren't.])
- *ImageNames - If you wish to give your images readable names which will be shown to customers, add them here in exactly the same order in which your images are in the previous column. Separate with the pipe (|) character again. (If you have 3 images defined and only want to name the third one for example, the value in this column should be "||My third image name".)
- *ImageDescriptions - If also wish to give your images descriptions which will be shown to customers, add them in the exactly same manner as image names above.
- *ItemCode - If you have your items coded for easier tracking, you can enter the code here.
- *Deposit - The amount of the deposit that you require when this item gets hired.
Step 3: Create mappings
The branches table
If you have more than one branch specified in the main export file, you also must supply a branch mapping CSV file.
- You can use this file to map the branch numbers from the main file above (use 1 for QuantityBranch1, 2 for QuantityBranch2 etc.) to AnyHire.com branch IDs.
- Then save the file in CSV format.
The category mappings table
Every item has to be assigned to at least one category. Since it is more than likely that your category IDs will not match the AnyHire.com category IDs, you will have to map your IDs to ours for the import to be successful.
- You can use this file to map your category IDs to AnyHire.com category IDs.
- Then save the file in CSV format.
Alternatively, you can edit your main export file directly in MS Excel or similar tool and enter AnyHire.com category IDs directly into the AnyHireCategories column.
Please note that items that do not have an AnyHire category ID assigned directly or through the category mappings file will not be imported!
Step 4: Prepare your images
- Create a root "Images" folder and create sub-folders named "Small", "Large" and "Extra".
- Put images for all items into the correct folder by the required final size on AnyHire.com. The names of the images has to correspond to the Images column values in the main table.
- Preferably resize* all the images to their final size as defined by the chosen hint in the main table.
* Our server will scale down your images automatically to their maximum chosen size. However, uploading images much larger than is required wastes bandwidth and may take too long to upload.
Help on resizing your images or sending more data than 30MB
To resize your images:
- Use any photo-editing tool of your choice. For larger amount of photos choose programs that automate the task.
- Alternatively, download one of the free image resizers available on the web.
For example download FotoSizer tool and use it to resize all the images you will be sending to us.
Once installed:
- Click "Add Folder" at the bottom left.
- Select the image folder you created in this Step.
- At the top right select "px" in the drop down box under "Custom size".
- Under "Width" set width to 300 for small images or 600 for large images. The "Height" will be adjusted automatically.
- Check the following options: "Reverse Width and Height by orientation", "Do not enlarge if smaller" and "Maintain aspect ratio".
- In "Destination settings select [Same as original] in the "Destination folder" drop down box.
- Set "Output format" to JPEG.
- Set "Filename mask" to %F
- Click the green "Start" button.
- Wait for the process to finish and you're done, your images are ready for upload.
Step 5: Upload or send your data
Log In to enable business data uploads.
Step 6: Notify us that you've uploaded all your data
(Skip this step if you sent your data on a CD or DVD.)
Once you are happy your data files and all your images have been uploaded, .
After we are notified we will check your data for consistency and if everything appears to be in order, we will import your data into the AnyHire.com system. When done, we will let you know by email.
